Maitree Mindcare (“we”, “us”) provides psychiatric consultations, therapy and counselling online and at our clinic at Mangaldai Road, opposite Axis Bank, Agdola, Baihata Chariali, Assam 781381. This policy explains what information we collect when you use this website or contact us, why we collect it, who it is shared with, and the choices you have. It applies to this website and to enquiries you send us through it.

Mental health information is sensitive. We treat it that way. We do not sell your personal information to anyone, and we do not use your clinical information for advertising.

1. Information we collect

Information you give us

The booking and enquiry forms on this website ask for the details we need in order to respond to you:

  • Booking form: your name, age, gender, preferred language, and a short description of the reason for your consultation.
  • Enquiry form: your name, a subject line, and your message.
  • Direct contact: anything you choose to tell us if you call, email or message us.

Information from your consultation

If you go on to have a consultation with us, your clinician records clinical information — history, assessment, diagnosis, prescriptions and session notes. These records are held by the treating clinician as part of your medical record and are governed by professional confidentiality obligations, not by this website.

Information collected automatically

When you browse this site we use Google Analytics and Google Ads conversion tracking. These set cookies and collect technical information such as your approximate location, device and browser, the pages you visit and how you arrived at the site. This is aggregate traffic measurement. We do not send any health information, form contents or identifying details to these tools.

2. How our forms work — please read this

This website does not store your form submissions on our servers. When you complete a booking or enquiry form and submit it, the form opens WhatsApp on your device with your answers written into a message. Nothing is sent until you press send in WhatsApp, and you can edit or delete the message before you do.

This means your enquiry travels through WhatsApp, which is operated by Meta, and is subject to WhatsApp’s own privacy policy. If you would rather not use WhatsApp, you can email us at maitree.mind@gmail.com or call +916900325106 instead.

Please share only as much detail as you are comfortable putting in a message. A general description of your concern is enough to book an appointment — the full discussion belongs in your consultation.

3. Why we use your information

  • To reply to your enquiry and answer your questions.
  • To schedule, confirm, reschedule and remind you about appointments.
  • To match you with a clinician suited to your concern and preferred language.
  • To provide clinical care and maintain the medical records required of us.
  • To understand how the website is used, so we can improve it.
  • To meet legal, regulatory and professional obligations that apply to us.

4. Who we share it with

We share your information only where it is necessary:

  • Our clinicians and support staff, so they can respond to you and provide care.
  • WhatsApp (Meta), because enquiries sent through the forms are delivered as WhatsApp messages, as described above.
  • Video consultation platforms — Google Meet or Zoom — for online sessions. Only your name and the meeting link are needed.
  • Google Analytics and Google Ads, for anonymous website traffic and advertising measurement only.
  • Where the law requires it, or where there is a serious and immediate risk to your safety or someone else’s. This is the standard limit on clinical confidentiality and your clinician will explain it to you.

We do not sell, rent or trade your personal information. We do not share clinical information with advertisers.

5. How long we keep it

Enquiry messages are kept only as long as needed to deal with your request. Clinical records are retained for the period required by Indian medical record-keeping standards and professional guidelines, and then securely destroyed. Website analytics data is retained according to Google’s standard retention settings.

6. Children and young people

We provide child and adolescent services. Where the person receiving care is under 18, a parent or legal guardian must make the booking, provide consent, and be involved in the care as appropriate. Please do not submit a child’s details through this website unless you are their parent or guardian.

7. Your rights

Under the Digital Personal Data Protection Act, 2023 and applicable Indian law, you may ask us to:

  • Confirm what personal information we hold about you.
  • Correct information that is wrong or incomplete.
  • Delete information we no longer need, subject to the record-keeping obligations that apply to clinical records.
  • Withdraw consent you have previously given.
  • Raise a grievance about how we have handled your data.

8. Cookies and how to opt out

You can block or delete cookies in your browser settings. To opt out of Google Analytics specifically, you can install the Google Analytics Opt-out Browser Add-on. Blocking cookies will not stop you from using this website or booking an appointment.

9. Security

This website is served over HTTPS, and access to clinical records is restricted to the clinicians and staff involved in your care. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security — which is why we ask you to keep the detail in website messages to a minimum.

10. This is not an emergency service

Messages sent through this website are not monitored around the clock. If you or someone else is in immediate danger, contact your local emergency services or a crisis helpline right away rather than using this website.

11. Changes to this policy

If we change how we handle your information, we will update this page and change the “last updated” date at the top. Please check back from time to time.
